YMCAs Improve Workforce Productivity through Kronos®

Metro-area YMCAs adopt Kronos solution to manage and motivate unique mix of employees

CHELMSFORD, Mass., April 2, 2008 — From cities to suburbs, YMCAs serve more than 20.2 million people across the country each year from its 2,663 U.S. locations. Controlling overtime, handling complex shift differentials, and tackling multiple jobs across geographically dispersed sites are all challenges that the non-profit giant faces everyday. Increasingly, metro-area YMCAs are turning to Kronos® Incorporated to effectively combat these issues, and continue to serve their publics as efficiently as possible.

The YMCAs of Chicago; Greater Saint Paul and Metropolitan Minneapolis, Minn.; Houston; Santa Clara Valley, Calif.; Tacoma, Wash.; the Triangle Area in Raleigh, N.C.; and Washington, D.C. are all benefiting from implementing Kronos by automating time and attendance data collection, and increasing payroll accuracies and efficiencies. This is helping the organizations be more fair and equitable, reduce costs, and boost employee morale. These are important success factors in non-profits, which are typically staffed by multiple categories of employees including full-time, part-time, and seasonal.

The YMCA of Chicago has more than 3,000 employees in more than 50 locations. "With our Kronos solution, we now have a complete picture of our workforce," said Judith Sol-Dyess, director of information systems at the YMCA of Chicago. "Corporate staff can view scheduled hours and compare these to payroll. We know how many hours are being spent doing what type of job, at what rate of pay, and at what center, which is very valuable. Having an employee's information in one place rather than on five paper timecards across multiple departments and centers helped us cut our overtime costs by $1.5 million in less than a year."

The YMCA of the Triangle Area in Raleigh employs 2,000 full-time and 500 seasonal employees at 15 branch locations. "Our biggest benefit comes in the form of reports," said Karla Jessup, human resources director at the YMCA of the Triangle Area. "We can now report on time and attendance information, benefit time, and certifications from one location. Tasks such as tracking job postings, calculating variable pay scales by position and location, and adding detailed employee information are easy and seamless with Kronos. Our supervisors are now able to focus on more strategic programs instead of spending their time on administrative tasks."

The YMCA of Greater Saint Paul and Metropolitan Minneapolis employ more than 5,000 employees in more than 30 locations. "The YMCA of Greater Saint Paul and Metropolitan Minneapolis initiated a special partnership more than seven years ago to gain greater efficiencies by working more closely together," commented Sharon Berglund, vice president of human resources at the YMCA of Greater Saint Paul and Metropolitan Minneapolis. "The Kronos selection is another way for us to work in innovative ways to reduce our staff administrative tasks that help us achieve our goal to serve kids and families in our local communities. Managing employee time and attendance is critical to gain more control of balancing budgets, managing overtime, and maximizing employee productivity. However, the Kronos solution holds further promise for these organizations, which are currently using millions of punches in the system to accurately pay employees. Some of the YMCAs are considering adding this component to better understand and motivate their workforce.
