University of York Selected Kronos® Workforce Central® to Manage Time and Attendance Administration

University of York in Heslington, England, selected Kronos Workforce Central to manage time and attendance administration for 600 staff in facilities management. This is part of a five-year programme to update management and operational information systems to support key university activities. The contract was awarded to Kronos after an extensive and thorough evaluation of available time and attendance solutions.

Tim Franklin, information management and systems programme manager said, "The university continually strives for excellence in teaching and research and recognises that accurate and timely management information is necessary to enable it to achieve this goal. Our current time and attendance systems are many and varied, from manual clocking machines, manual timesheets, and in some cases manual registers. It was time to review our time and attendance processes and look for an automated solution. Kronos had the best solution to fulfil our requirements.

"Kronos proved their ability to meet our specific requirements," said Franklin. "Our whole approach at The University of York is to select best-of-breed solutions, and we selected Kronos after a thorough evaluation of nine other software vendors. It was important for us to manage time and attendance within our existing IT infrastructure and we particularly liked the fact that the Kronos solution allows our employees to use the telephone for recording their hours worked and the Web for administration and management reporting. The system will require the minimum amount of training for staff. In addition, Kronos could provide us with a fully web based front end for our supervisors."

Using the new Kronos system, 600 employees in areas such as catering and cleaning will use the telephone to clock in and out of work. These employees work throughout the university, on and off campus. The information from the telephones is processed in real time and can be viewed by staff supervisors using a Web browser. Supervisors will make any necessary changes before approving the timesheets and passing them over to the payroll office electronically.

The benefits of the system include efficiencies due to automation, increased accuracy and transparency for staff, elimination of disparate systems, standardisation of management practice, improved management focus for workforce planning and information to assist meeting legal requirements. Key staff benefits include improved clarity of pay with overtime paid more quickly; staff will be able to use the phones to find out balances on holidays and to pick up messages from supervisors.
